We are seeking a proactive and detail-oriented Operations Assistant to join our growing Operations function.
This role is designed for an early career professional who is eager to learn, thrives in a varied operational environment, and is motivated by helping a fast-growing firm improve efficiency, scalability, and overall operational excellence.
The Operations assistant will absorb essential administrative, and process driven‑ tasks, enabling the Operations Manager to focus on strategic, developmental, and firm‑wide initiatives. By strengthening our operational bandwidth, the Operations Assistant will help reduce bottlenecks, improve data quality and accuracy, increase scalability, and enhance fee earner utilisation, contributing directly to improved efficiency and revenue potential across the firm.

Essential

· Positive attitude, eagerness to learn, and willingness to get involved in a variety of tasks
· Strong organisational skills and attention to detail
· Ability to work efficiently in a fast-paced environment
· Comfortable with administrative work and process management
· Competent with Microsoft applications (primarily Word, Excel, PowerPoint)
Desirable
· Prior office experience (including placements or internships)
· Familiarity with tools such as Xero, HubSpot, or similar platforms
· Familiarity with Adobe tools
· Demonstrates ability to use AI to improve internal processes and repeatable activities in order to improve efficiency

Marketing Support
· Prepare and send marketing mailers in HubSpot
· Upload, format, and publish blog posts
· Post LinkedIn content and assist with creating images/carousels
· Support event logistics (merchandise, printing, room bookings, venue sourcing)
Finance Administration
· Reconcile expenses in Xero
· Manage staff expense submissions
· Monitor expense account balances
· Prepare payroll and monthly management accounts data
· Prepare invoices and facilitate invoicing calls
· Maintain team P&L within Xero
Data & Systems Management
· Review Timesheets, identify errors, and coordinate corrections
· Improve HubSpot data quality and prompt teams for updates
· Maintain HR database
· Collate monthly KPI data
· Maintain project data on Timesheet system
People Support
· Coordinate onboarding and offboarding administration
· Manage gifting process
· Maintain benefits data across supplier platforms (Bupa, Medicash)
· Support with company social events planning and execution
Project Support
· Set up Engagement Letters, NDAs and Contracts for signing via Adobe
· Set up projects in the Resourcing tool
· Set up and shut down secure file‑sharing folders

We are based in the City of London, near Cannon Street, Moorgate and Bank stations. We are hiring for our London based team which operates on a hybrid basis, with a minimum of two days per week in our London office.
